Event Cancellation Policy

To properly plan events, Totanhan Lodge has implemented the following cancellation policies. These policies help ensure the event planner has enough funds to purchase food and materials for the event prior to the event date.

Induction Conclaves

If an OA Member or Ordeal Candidate signs up for an induction conclave weekend and wishes to cancel the registration, the following policy is in force.

  • If a cancellation is requested at least 30 days prior to the event’s start date, a full refund is issued.
  • Any cancellation requested between 30 and 14 days of the event’s start date is refunded at 50% of the total registration fee.
  • Refunds are not issued within 14 days of the event, except in cases of emergency. 
  • For Ordeal Candidates:
    • If a cancellation is requested at least 14 days prior to the event’s start date, a full refund is issued.
    • Refunds are not issued within 14 days of the event, except in cases of emergency. 

Instead of cancelling a registration, the registrant has the option to move the registration to another induction weekend in the same season (Spring or Fall).  Registrations cannot be moved to an induction weekend in the following season or year.

Lodge Events

  • If a cancellation is requested at least 30 days prior to the event’s start date, a full refund is issued.
  • Any cancellation is requested between 30 and 14 days of the event’s start date is refunded at 50% of the total registration fee,
  • Refunds are not issued within 14 days of the event, except in cases of emergency. 

Events Cancelled by the Lodge

If Totanhan Nakaha Lodge cancels an event, a full refund is issued to all participants.

Events Cancelled by the Section or the National Order of the Arrow organization

Events hosted by outside organizations, such as Section, Region or National will follow the policies of that organization, even if Totanhan Nakaha Lodge is collecting fees for that event.

To cancel a registration

To cancel a registration, email the lodge Staff Adviser at staff.adviser@oa.nsbsa.org. Include the event name, your contact information and your registration number.

These policies follow cancellation polices used by Northern Star Scouting for events.
